Minutes of FLRC Executive Board Meeting
September 11, 2002
Present: Lorrie Marnell, Jeffrey Juran, Herb Engman, Don Tily, Tom Meyer, Joe Reynolds, Tim Ingall, Yvette Deboer, Diane Sherrer, and John Sholeen, Jim Bisogni, Todd Mattison, Sandy Fitterer, John McMurry, Sue Aigen and Jim Miner.
Lorrie called the meeting to order at 5:36 PM.
The minutes of the August 7, 2002 meeting were distributed and approved.
Race Reports:
Virgil Mountain Madness: John Sholeen reported that the race netted $385 and that there were 40 finishers.
Loop the Lake 5K and Picnic: John reported that there were about 50 runners. Expenses were approximately $200.
Forge the Gorgeous: Tim Ingall reported that there were 91 finishers. The race netted $105.49. Next year Tim plans to reserve the pavilion. The pizza was a hit.
Summer Track Series: Tim reported about 20 runners at the August meet. The weather was very hot.
Monster Marathon: The race made approximately $1000. John McMurry reported that all shirts were sold. He offered two comments. First, aid station people should be informed that they have the right and duty to pull runners who look like they are in trouble. Second, John was concerned that race entrants that use silly aliases on their race registration may be jeopardizing our waiver validity. It was decided that as long as the runner signs the waiver with his or her real name that the waiver is valid.
Berkshire 15K: The race had 43 finishers. Jim Miner commented that the race was not popular because it was hilly and hot. Jim reported that the race will probably be shortened next year.
Upcoming Races:
5 & 10: Lorrie is seeking more volunteers. This year there will be no police support. Recertification of the new course has been done. Shirts and awards are ready. Lorrie mentioned that there may be a problem with the certification of Margret Betz's pending age group record set last year, since last year's course is not available for USATF re-certification.
Danby Down and Dirty: Sue reported that she is just beginning to get things organized. She needs additional volunteers, especially for race day set up.
Race Profit
Allocation:
This discussion was continued from last month's meeting. Todd
Mattison made and Jim Miner seconded a motion to donate $300 to the
Ithaca Kitchen Cupboard from the proceeds of the Twilight 5K. The motion
passed 10 yes, 0 no and 5 abstentions. A second motion was made by Todd
and seconded by Jim Miner to pay $100 to the IHS Sports Booster Club for
the use of their building during the Twilight. The motion passed 13 yes,
0 no and 3 abstentions.
Suggestion for a Board Retreat:
Herb restated his suggestion from the August meeting that we
consider a retreat to focus on some key issues facing the club such as
its future and goals, and setting up concrete action plans to address
specific issues such as membership, volunteering, etc. A vote in favor
of having this retreat was unanimous. Lorrie, Herb and Tom will be the
organizing committee.
2003 Race Calendar:
Lorrie distributed a draft of the 2003 race calendar. To the
extent possible the dates and names on this draft were updated at the
meeting. An updated version will be presented at the next board meeting.
Finances:
John Sholeen reported that the Club checking account has a
balance of $10,600. John requested that race directors designate the
percent of race profits to be allocated to the scholarship fund. All race
directors present designated 20%, except Jeffrey (Rec-Way 10K) who
designated 10%.
Newsletter:
No report.
Membership:
John Beach reported by e-mail that there are 16 complimentary, 4
team, 17 life, 156 individual, and 36 family memberships (total
membership = 229, total members = 296).

Donation:
Lorrie read a thank you note for our contribution to the Finger
Lakes Land Trust in Barb Booker's name.

Equipment:
Jim Miner that our new digital clock has a defective display
element and needs to be sent out for repair.
VP Reports:
Trails: No report.
Track: No report.
Roads: Jim Miner reported that this would be the last year for the Steamtown Marathon.
Ithaca Triathlon:
Yvette reported that a site for the triathlon was still being
investigated. It was determined that the Club's insurance policy will
not cover triathlon events.
The meeting was adjourned at 7:12pm.
