Minutes of FLRC Executive Board Meeting

July 9, 2003


Present: Diane Sherrer, Lorrie Tily, Herb Engman, Don Tily, Jim Bisogni, Tom Meyer, Sandy Fitterer, Jeff Juran, Todd Mattison, Alan Lockett, Jim Miner, John Sholeen, Joe Dabes, Casey Carlstrom, Tracy Atlas, Tim Ingall, Steve Ryan, Dave Burbank, Chris Beach and Joe Reynolds

Lorrie called the meeting to order at 5:37

The minutes of the June 11, 2003 were approved.

Race Reports:

Twilight 5K: Todd reported 199 finishers. There were some problems with getting results out in timely fashion, the need for mile markers and awards. $410 was donated to Kitchen Cupboard. The race netted around $900. Todd suggested that chip timing should be considered for this race.

Finger Lakes Fifties: Joe Reynolds reported that the race went well. There were 68 finishers. Race finances haven't been finalized yet.

July Outdoor Track Meet: Tim reported an excellent turnout and good weather at the IHS track. Numbers and results aren't posted as yet. Joe Reynolds commented that there might have been a little too much input from Dan Fravil and the IC coach.

Upcoming Races:

Women's Distance Festival: Diane and Lorrie requested volunteers.

Forest Frolic Trail Runs: Steve reported that trails are in good shape and about 30 have pre-registered. He noted that some of the regional running clubs did not have the race advertised.

Fillmore 5K: Alan requested volunteers. He has some help from the Moravia track team.

Empire Haven 4-Leaf Clover Race: No report.

Virgil Mountain Madness: Dave reported that some additional volunteers are needed. Wilderness Search and Rescue will be there. Food, port-a-johns, etc. are taken care of. Dave will work with Joe Dabes on T-Shirts.

August Outdoor Track Meet: Tim reported that the meet will be at Cornell. Volunteers are needed as usual.

Finances:
John reported that the checking account balance is $5600 and the scholarship fund is at $2945.49. Our money market investment is about $6500.

Newsletter:
Diane reported that next newsletter was about to be sent out. She noted that the Fillmore 5K entry form was inadvertently left out of the newsletter.

Membership:
Lorrie announced that Casey Carlstrom has accepted the membership chair. Casey reported 259 total members (127 individuals, 105 family, 17 life and 10 complimentary). A long discussion followed on how to increase membership. Joe Dabes moved that the race entry discount for members be increased to $4. Alan seconded the motion. After discussion, Joe withdrew the motion with the intent to introduce it again at a later date.

Club Historian:
No report.

Web Page:
Tom reported that the new Club website is up doing well with approximately 5000 visitors so far.

Equipment:
Jim Miner reminded race directors that they should keep in contact with other race directors if they are going to keep equipment for any period of time. Tim suggested renting a van for hauling equipment around to races. Todd suggested that we could use new signs for marking races.

VP Reports:

Trails: No report

Track: No report

Roads: Jim Miner raised the issue of better training of volunteers for timing, registration and results. This is the race director's responsibility.

Other Business:

Karen Grove suggestion to give free or reduced entry fee to races as prizes was discussed. The general consensus was that it had been tried before and it did not seem effective.

Diane announced that Priscilla Welch was available to give a public speech if the Club wished to serve as her host. Lorrie mentioned that the Cayuga Medical Center might wish to coordinate the event with us.

The meeting was adjourned at 7:06pm.
