Minutes of FLRC Executive Board Meeting

Race Reports:

Tom Bugliosi Trail Races: Evan reported that the race made $86, in spite of Earth Connections charging $4 per finisher, which some thought a bit high. Earth Connections might wish to sell food (and beer?) next year.

Rec Way 10K: Jeff reported that this race had only 45 entrants this year (usually 60). Race lost over $500 this year as 100 shirts ordered, but only 3 or 4 sold? (some were given to volunteers). Discussion: Race directors need to watch their budgets and try to break even or make a profit. - Diane S. pointed out the lack of publicity for this race at neighboring races, such a Guthrie Gallop.

Tortoise 10K+: Jim M. reported that there were 85 finishers. He had trouble getting volunteers - some people who said they would volunteer did not show up. Course was very muddy - muddiest ever.

Upcoming Races:

Twilight 5K: Alan L. reported that he needs volunteers, and that there is chip timing this year, from Leone timing, which is quite expensive. However, results should be out quickly.

FLT Fifties: Joe R. reported that there will be a run-through Sat. June 12 at 9 AM. Pre-race meal Friday night will be at Ron-Don's.

July 6 Tuesday Track Meet: Tim I. announced events: 100 m, 2-mile, 200 m, 1500 m, and 400-200-200-800 m relay.

Women's 5K race in July: Pres. Lorrie T. decreed that all male board members are expected to volunteer at this race. The women are collecting some of the favors owed.

Fillmore 5K: Alan L. said that things are on schedule at this point.

Race Budget Form:
Evan K. presented a budget form. It was discussed that race directors could use it as a valuable tool. He had trouble sending it through the FLRC listserve, which apparently does not accept attachments. SO NOTE: Tom M. has set up an email address so email can be sent up to all board members; it is board @
fingerlakesrunners.org.

Summer XC Training Runs:
Karen G. reported that a course is needed. The Ithaca College 5K XC course was suggested and this was agreed upon as long as permission can be obtained. Dates will be Thurs. nights Aug. 5, 12, 19, and 26 2004.

Finances:
John S. could reported via email that the checking account balance is $2050 and that there were no changes in other accounts.

Newsletter:
Diane S. reported that Gnomon Copy never got Nancy Kleinrock's emailing of the newsletter to them, although Tom M. got it for our website. Diane S. feels she is working blind with the new system, but hopefully it will work out. Diane emails all to Nancy K. It was suggested that Casey C. follow up on newsletter, even take it to post office. It was suggested that Gnomon put mailing labels on the newsletter in the future.

Membership:
Casey C. reported 178 newsletter mailings - 277 members total. He asked of renewal form suggestions for those who have not renewed. He also said that 30 members opted out of the snail mailed newsletter (including me, Java Joe, but I continue to get the snail newsletter!?)

Tom M. has renewed our website for another year. Tom has set up an email address where all FLRC board members can be reached:

Equipment:
Tom S. contacted 5 storage places and presented the results - discussion: they seemed pricey. Bill T. suggested buying a storage shed. Joe D. suggested racing entry fees slightly so we could pay an equipment manager $1000 - $2000 per year. Chris and Joe Reynolds. volunteered to become co-equipment manager. However, he and Chris need help in constructing a shed. Work on this was scheduled for Sunday June 13 at 10 AM. Equipment is now stored at Herb Engman's place: 120 Warren Rd, Ithaca, red house at top of hill between Forest Home and Golf course.
