Minutes of FLRC Executive Board Meeting
March 8, 2006
Present: Lorrie Tily, Don Tily, John Whitman, Diane Sherrer, Casey Carlstrom, Steve Shaum, Nancy Kleinrock, Sue Aigen, Chris Reynolds(briefly), Joe Reynolds(briefly), Chris Irving, Jim Miner, PJ Peterman, Tim Ingall, Karen Grover, John Dailey Jr., Tomás Larsson, Diane Yates, Katie Danner, Jim Strehle, Mark Thompson, Evan Kurtz, Steve Ryan, Jeffrey Juran, and Bob Talda.

Minutes of the Jan 11, 2006 meeting were approved
Race Reports:
- Feb track meet-Tim Ingall: This was our largest meet to date with many good heats
- Hartshorne Masters Mile-Diane S: Packed with talent, Carolyn Smith Hanna set a pending world record for women F55-59; meet record set by Marisa Hanson; made cover story in March's National Masters News newsletter
- Snowshoe: numbers down due to lack of snow
Upcoming Races:
- Family Fun Day-Tim Ingall: order of events: mile, 400, fun events
- Skunk Cabbage-25th anniversary, so far 34 entries; need volunteers; Triple Cities will be doing the timing. Diane S suggested an anniversary cake
- Thom B-Evan Kurtz: most needs are met, and things are coming together
- Tortoise & Hare-Nancy Kleinrock: The Ithaca Festival contacted us to see if we could partner with them, and we await a report from race directors KC Bennett and Tessa DuMont
Finances: - Chris Irving
- Discussion surrounding processing mailed race entries and checks received at our PO Box. Concerns raised regarding the size and use of mail box, time required to process incoming entries, how best to get entries to Jim M, and to get checks to Chris Irving. Currently Jim daily takes entries, and leaves checks in the PO Box that Chris picks up weekly. The problem is that the box could become too full for new mail. Acceptable agreement was reached that Jim would bring mail home, process entries, and then bring an envelope of checks with Chris Irving's name on it and leave it at the PO Box, which she will continue to check weekly.
- Review of balance sheet, and Profit & Loss statements
- Contributions to scholarship fund: Lorrie wondered why nothing had been added to scholarship fund. Chris reported that race directors have not given any money. Members related that in the past "donations" were called for yearly. Nancy read 2001 document which stated a policy of 10% per race plus extra at the discretion of the race director
- Chris Irving called for the creation of a finance committee to look at various issues and create policies and guidelines for the club. This was agreeable to the board. Volunteers include Chris Irving, Evan Kurtz, Sue Aigen, and John Dailey Jr.

Newsletter - Diane Sherrer: Newsletter will continue to run internal race applications. Nancy called for race reports and photos are encouraged
Membership - Steve Shaum: Comp: 11, family: 122, individual: 110, life: 26, team 2
Web Page - Casey Carlstrom: No news to report. Offered that if pictures are sent to him, he will put them on website

Other business:
Update from Bylaws Committee:
Proposed changes to the bylaws, as made by the committee, were read by Nancy Kleinrock. Discussion ensued. Focused discussion on what it means to be a member "in good standing", voting rights at board meetings, mission of club, and board member responsibilities.
Bylaws committee members Nancy and Lorrie called for suggestions for the new bylaws to be emailed to the committee for review. Consensus was reached to have suggested changes (once received) included into an updated document and resent out to board members for review and out of meeting discussion before the next board meeting.
Follow-up on race Director's meeting-Lorrie
- Mark Driscoll recommends that each race in the area should be USATF sanctioned at a cost of $60/event. Mixed response to this suggestion
- Fleet Feet presentation:
- They are willing to supply "Asics" race bibs if given enough time
- Skunk Cabbage will be on Fleet Feet's "featured race of the week"
